All you need to know about using the Library

|
Opening hours, studying here, visitors
Term time: 7.00 am - 1.45 am : Vacation 7.00 am - midnight. Closed during Christmas & New Year, the College Snowball and similar events.
The Library is for the use of Selwyn College members only. Visitors, including members of other Colleges, may be allowed to consult books in our collection between 9 am and 5 pm on weekdays but must request permission first (phone or email). This applies to both the undergraduate and special collections.
We provide a quiet and scholarly environment where Selwyn members feel welcome to study. Readers are requested to observe the health and safety and other notices displayed in the building.
Students with disabilities are welcome and staff are always happy to discuss individual requirements. Please note that access to the first floor (History) is not possible for wheelchair users.

Borrowing, reminders and returning

What can I borrow?
Books and DVDs, other than those marked "For reference only" or "Not to be taken away". Journals may not be borrowed. During the Christmas vacation you can borrow reference books but will need to bring them to the office to have them issued to your account.
How many items and for how long?
All students may borrow up to 12 items.
Undergraduates in years 1 & 2 for 2 weeks
Undergraduates in years 3 & 4 for 8 weeks
Postgraduate students for 8 weeks.
Fellows may borrow up to 10 items for 8 weeks.
DVDs are loaned for 2 weeks and GUS books for 8 weeks to all readers.
Please contact the Librarian if you need to exceed these limits for your study.
To borrow:
Use the scanner on the desk by the library entrance. Check the instructions displayed there. There is a knack to using it, so ask a member of staff to show you before you use it for the first time. If the security alarm sounds as you leave the building, come back and put the details in the Incident Book on the same desk. The Library entrance is monitored by a CCTV camera, and alarm incidents will be followed up.
No item may be removed from the Library without registering the loan.
To swop items from one person's account to another - no need to return them first. The second borrower should login and issue the books to him/herself, they will be automatically taken off the previous borrower's account.
Problems with borrowing:

Issue PC not working?
Book barcode not being read in?

During staffed hours call in at the office. Otherwise fill in one of the paper loan slips, and note you have done so in the Incident Book as the alarm will sound when you leave.
If the book barcode doesn't read in check that you haven't tried to borrow a reference copy. If that isn't the problem try typing in the barcode from the back and then leaving the book flat on the plate to demagnetise.

University card not working ?

Your account may have expired, or you may have changed your registration details at another Cambridge library. Call in at the office or email us and we will fix it.
In the meantime please use a paper loan slip as above during unstaffed hours.

Reminders and returning items to the Library
3-4 days before the return date you will receive a courtesy email reminding you that loans must be returned or renewed. The email service is a reminder only, you are responsible for ensuring loans are renewed or returned on time.
Return items by placing them in the large brown box at the foot of the stairs or to the office if you prefer.
Please only return books which belong to Selwyn Library. If you inadvertently return books to us which belong elsewhere we will leave them on top of the returns box. Unfortunately there isn't a system whereby we can return your books to other libraries for you.

Renewing loans and checking your account
You may wish to use the mobile interface.
From Library Search click on My Library Account (top right)
Type in your University card number from the back of the card, top right corner (eg VKPQJ) taking care with 1/L/I and O/0. Then your last name. You can also login with your Raven password.
Go to the loans tab. Clicking on the item details will make the renewal (unless you have reached the limit of 5 renewals or the item has been recalled).
Contact the library office if there are any problems.
You can also renew Selwyn items by re-borrowing them at the loan station.
Books can't be renewed if:

they have been reserved by another reader, please return any such books as soon as possible, preferably to the office.
-
they have been renewed 5 times already, in which case please bring them to the office for re-issue.

If you need a book quickly, call in at the office, or phone/email us to Request a Share. We will contact the current borrower and ask him/her to get in touch with you.
Alternatively you can place a recall any book or DVD which is on loan. From LibrarySearch (laptop) click through to the full details. Select "Request options" from the link by the details of the Selwyn copy. Follow the onscreen prompts. this generates an email to the current borrower, so it usually takes longer to get the book back than via the office.
You can recall up to 3 items, but take care because when you reach this limit you won't be able to borrow from Selwyn Library. (This is an irritating glitch in the system). This is a particular problem if you select "Any copy" for a book held in multiple copies.
Either way, you will receive an email as soon as the item has been returned and is ready for collection. If you don't need the book anymore please let us know straightaway so we can put it back on the shelves for others.
Please note that if you receive an email informing you that a book has been recalled from you, you must return the book to the Library by the date given, preferably to the Library office so we can deal with it straightaway. Check the date, as the loan may have been shortened. Fines will be imposed at 50p per item per day for overdue recalls.
Alternatively, if an item is on loan and you are happy to wait until the person who has borrowed it brings it back, contact the office or complete a book reservation slip at the issue desk. The current borrower won't be able to renew the loan and you will receive an email notification as soon as it is available.

Overdues, fines and losses

You will receive an email warning a few days before your books are due back, so check your messages regularly and act within 3 days of receipt by returning or renewing the items.
Items returned after the due date are fined as follows:
Overdue : 25p per item per working day
Recalled : 50p per item per working day
You will receive an email notification if you have a fine outstanding. You can either pay the fine at the office or leave it to be added to your College bill at the end of the academic year. Please contact the library office if you have any queries or concerns.

If you think you have lost a Library book or DVD, don't panic.
First, make sure you keep renewing the loan to avoid incurring fines and then make a thorough check; it's surprising where books get to - under the bed, in your friends' rooms, other libraries, etc. If you still can't find it, contact the office so staff can look out for it as well.
If you are certain it is lost you will have to pay for a replacement, either a flat fee of £40 or, if the cost of a replacement exceeds £40, the full cost + an administration fee, usually £20. Alternatively, a replacement copy in good condition (ie no pencil or pen marks inside) will be accepted.
Damaged items must also be paid for, the amount charged will depend on the level of damage and condition of the item. In some cases the item may have to be replaced.
Don't feel anxious about speaking to staff about overdues, fines and losses. Our approach is to resolve the problem quickly and painlessly, and to make sure that it doesn't happen again.

Computing, printing and copying
Computers in the Library

5 PCs on the Bridge upstairs, Desktop Services/PWF password required to log on.

2 kiosk PCs outside the Office for web & MS Office. Login instructions on the screen. Desktop Services password needed for printing.
There are plenty of sockets for laptops but please avoid using them in the first floor room, this is set aside for silent study.
Printer/copier/scanner
To print, copy and scan, use one of the two MFDs. They are situated in the Library and the Ann's Court Computer Room.
Your printing and copying will be charged to your College bill. Charges are:
A4 B&W 4p per side, Colour 15p per side;
A3 B&W 8p per side, Colour 25p per side;
Scanning 1p per side.
To print:
use a PC in the library, or
from your own laptop/desktop - install the necessary software from http://www.ucs.cam.ac.uk/desktop-services/ds-print/individual.
This is straightforward for MS users but more complicated for Mac users, who may prefer to email documents elsewhere.
You will only be able to send print commands from a wired connection, ie not wireless.
Send print command to the Selwyn_FindMe or _FollowMe queue.
The default settings are A4, double sided, black and white; any changes must be made when sending the print from the computer to the print queue. To do this, select Print, Printer Properties, and before you click on OK:
After you click on Print you will receive a message onscreen advising you that the print job has been sent to the queue. If you don't get the message try sending the print job again.
Taking your University card, go to the MFD at the foot of the stairs in the Library and follow the instructions stuck to the bannisters.
Essentially, once logged in, Release the document for printing and Start. There may be a delay of up to 45 seconds before the print starts, usually when PDFs are printed.
There is one other printer available, it is in Cripps Court and will print in either black & white or colour. Select Sel_CC_Colour or Sel_CC_BW according to which you want. Please ignore references to printers Lib or AC as they no longer exist.
To photocopy: Login in as above and select Copy.
Make any necessary changes by tapping on the screen.
To scan: Login as above and select Fax/Scan. You can send scanned material to your own email address only.

Half-skeletons and skulls can be borrowed by medical students for their first year studies.
We also have a model of the brain and a set of dog bones. Please ask at the Library office.

Books for sale

Withdrawn books and surplus donations are offered for sale on the trolley in the centre aisle at bargain prices.

The Library is for use by Selwyn College members only. Visitors may be admitted only by prior permission from the Librarian.

Doors must be closed securely on exit.
-
All loans must be registered following the procedures displayed in the library. Items marked For Reference only or Not to be taken away must remain in the library.

The number of items that may be borrowed and current loan periods are displayed in the library. Extended borrowing may be permitted on application to the Librarian.

All loans are subject to recall, and items which have been recalled must be returned within the period stated.

Returned items must be placed in the designated boxes in the library.

Items retained for longer than the permitted loan period, or which are damaged or defaced, will be subject to fines.

Lost items must be replaced or paid for.

Members are responsible for any item borrowed in their name until it is safely returned.

Items held in closed collections, such as rare books, may only be consulted in the Library during supervised hours.

The following are not permitted in the Library:
Smoking
Food and drink (other than water in sealable containers)
Noise which causes disturbance to other library users. Conversations must be
kept to a minimum.

Mobile telephones must be switched off in the Library except for silent text messaging.

Laptop computers may be used in the Library provided they do not disturb other users.

Library materials may only be photocopied as permitted by the current CLA regulations (on display by the photocopier).
These regulations have been designed in order to promote equal access to resources for all students. Failure to comply with them may result in fines being imposed, and persistent offenders may be subject to further disciplinary action. If you require clarification or would like any advice in using the Library please contact Library staff.

Health and safety
 |
Libraries can be surprisingly dangerous places! Please observe the following recommendations for your safety and for the sake of others.

Don’t admit anyone to the Library unless you are absolutely certain s/he is a College member.

Contact Library staff or the Porters’ Lodge if you are in any doubt.

Keep floors, especially aisles, clear of bags.

Stand on a kickstep, not a chair, to reach books on higher shelves.

Use the large stepladder to retrieve books from upper shelves on the Ground Floor.

Familiarise yourself with Fire Exits and Emergency instructions.

Leave all food and drink outside the Library, other than water in sealable containers.
-
No smoking.

The Library & Archives committee meets each Term and is chaired by the Senior Tutor. It comprises of 4 Fellows, representatives from the MCR and JCR, the Librarian and the Archivist. College members are encouraged to bring suggestions and concerns to the committe via the appropriate representative.
